What is stock management? 

Stock management allows you to manage your stock by recording the initial amount of items you have available, and having these numbers updated throughout the day when orders are taken via your POS system.

Two stock management methods are available on Point of Sale Pro: 

  1. One-Day tracking

  2. Standard stock 


What is One-day tracking?

One-day tracking allows you to keep track of perishable/limited quantity items you’re offering (eg. your kitchen staff tell you they only have 4 beef filets left, just for today). One-day tracking will be reset to “Sold Out” once the till is closed.


Advantages of one-day tracking are:

  • The available quantities of certain items are indicated at the start of each day, and reset to 0 at closing

  • The exact amount of certain items left is visible while you take orders

  • Avoid miscommunication between till and kitchen

  • Your POS system will alert you once a product is running low or sold out


What is Standard stock?

Standard stock management keeps you informed on all of your items over a longer period of time. 

Advantages of Standard stock are:

  • Know the availability of a product when placing an order

  • Avoid order mix-ups thanks to correct information 

  • Get alerted and prepare for restocking in time 

  • Ensure every service goes smoothly

  

How to activate/deactivate stock:

There are 2 stock management modules that can be activated from the back office via  Settings > Your modules > Store settings.

  • Module to activate One-day tracking 

  • Module to activate Standard stock management 

Once one of the modules is activated, the tab dedicated to stock management is displayed on the iPad in the Settings > Stock tab.


How to add your stock-takes of each item

  • Click on the item

  • Activate the stock tracker by entring a quantity

  • Confirm

=> The quantity of the item is automatically displayed in the stock management tab as well as when taking orders

  

How to add a stock alert for an item

You can choose a quantity at which you’ll be alerted and reminded to replenish certain items (the quantity of the item must already be registered to add a stock alert).

  • Enter a quantity in the Low stock warning field 

  • Confirm

=> As soon as the quantity of the item reaches this quantity, it will automatically turn orange so that you know to replenish soon

How to edit the stock of an item

  • Click on the item

  • Edit the remaining quantity of the item

  • Confirm

=> The quantity will be automatically updated in the stock management tab and will be shown when you’re taking an order

How to deactivate stock tracking for specific items

  • Click on the item

  • Deactivate the switch Track stock

  • Confirm

=> The item will no longer be tracked and remaining quantities will not be shown in the stock management tab or while taking orders

How to select tracking mode for specific items

If you’re using both one-day tracking and standard stock features, you might want to choose one or the other for specific items. (Appears only if you’ve activated daily and permanent stock management.)

  • By default, the item is tracked via the permanent stock management feature

  • Activate the One-day tracking switch to specify that the item is a daily item

  • If the item is tracked as a permanent item: its quantity will continue to be registered throughout multiple days/services

  • If the item is tracked as a daily item: its quantity will be reset to 0 every time you close your till.


What happens with stock tracking when I cancel/remove an item from an order?

When you delete an item from an order, you can choose one of two options:

  1. Restock item: the quantity of this item is added back to the item’s total stock quantity

  2. Delete from stock: the quantity of this item is entirely deleted and not added back to the item’s total stock quantity
